Improved Roster Published Notifications
When you publish a roster, each staff member gets an email with their own shifts for the whole week. Here's what's in it.
When a manager publishes a roster in WeRoster, every staff member gets an email with their own shifts for the week, right there in the message. No link to click just to find out whether you're working Saturday.
We made this change back in 2018. Before it, the email simply said a new roster was up and pointed staff to the Timetable page. That was fine for staff who checked straight away, but plenty didn't, and managers ended up answering "am I on this week?" texts anyway.
What's in the roster published email?
Each person gets a personal email for the week that was published. It lists every day of that week with the times they're rostered, says "Not rostered" on the days they're off, and includes any note the manager added to a day (handy for things like "stocktake after close"). There's a button to open their full timetable in WeRoster.
Because the email is personal, nobody sees anyone else's hours in it.
What happens if the roster changes after it's published?
Rosters change. Someone swaps a shift, a delivery moves, a staff member gets sick. Managers can change a roster after publishing, which is why we still suggest staff treat the Timetable page as the source of truth.
When you do make changes, you don't have to email everyone again. From the roster editor's notify menu you can notify only the staff whose shifts changed. They get a "Roster Changed" email with their updated week. More on that in notify only rostered staff.
Who receives the emails?
Staff who have verified their email address. If someone says they never got their roster, it's usually because they haven't clicked the verification link from their welcome email yet, or the address on their profile has a typo. Managers can edit a staff member's details to fix the address.
Frequently asked questions
Do staff get an email every time I publish a roster?
When you use Publish & Notify, yes. You can also publish without notifying, then notify everyone, only rostered staff, or only changed staff later from the roster editor.
Can staff see the roster without the email?
Yes. The Timetable page shows their shifts any time, and staff can subscribe to a calendar feed so shifts appear in their phone's calendar.
Why didn't a staff member get the roster email?
The most common reasons are an unverified email address or a typo in their email. Check their details on your store's Staff page.
