How can we help?

Step-by-step guides for every part of WeRoster, from your first roster to billing. Search below or pick a topic.

Getting Started

Rosters

  • Using the roster editor

How the roster editor works: the week strip and summary, the 15-minute grid, roles, day notes, changing a day's hours, sorting staff and the daily totals.

  • Rostering on your phone

Build and change rosters from a phone or tablet with tap-to-roster: tap the start, tap the end.

  • Copying a roster to another week

Copy last week into this one, copy a week forward to any other week, or copy a single day, so you're not starting from scratch.

  • Contracted hours warnings

Set each person's weekly hours and WeRoster warns you on the roster when someone is under or over.

  • Wage costs and estimated sales

See what each day and week of the roster costs in wages, and your wage cost as a percentage of estimated sales.

  • Public holidays on your roster

WeRoster labels New Zealand public holidays, including Matariki and Mondayised days, on the right day of your roster automatically.

Staff

  • Employees and managers

The difference between employees and managers on a store's Staff page, what each row menu does, and how to make someone both.

  • Removing or restoring staff

Take someone off a store when they leave, and bring them back later from Past employees with their details intact.

Availability and Leave

  • Setting your availability

Tell your managers when you can and can't work, four weeks at a time. Your availability shows on the roster while they build it.

  • Requesting leave

How to ask for time off from your Timetable, follow your request, and see your manager's reply.

  • Managing leave requests

Approve or deny staff leave in one tap, add a comment, edit a request, add leave for someone and download a leave request as a PDF.

Shifts and Clock-in

  • Turning on shift tracking

Let staff clock in and out and take breaks, from their own phone or a shared device in store, so you can see the hours they actually worked.

  • Setting up the clock-in terminal

Turn a tablet or computer in your store into a clock-in terminal: unlock it once with the terminal PIN, then staff tap their name and enter their own PIN.

  • Reviewing and editing shifts

Approve the shifts your staff clock, fix times, add a missed shift, browse by day, week, month or year, and download a CSV.

Stores

  • Store settings

Every option on a store's Settings tab: store details, roles, wage visibility, PDF attachments, roster naming, shift tracking, the terminal link and PIN, and ownership.

  • Running multiple stores

Run several stores from one WeRoster login, switch between them, share staff, and how people at more than one store are counted.

  • Archiving a store

Archive a store you no longer use so it's hidden from staff and stops counting towards your subscription, and reactivate it later.

  • Transferring store ownership

Hand a store to another WeRoster account, for example when you sell the business or a franchisee takes over.

Billing

  • Plans and pricing

WeRoster's four plans, how staff are counted, monthly versus annual billing, and how your plan moves as your team changes.

  • Referring a friend

Share your referral link: the business you refer gets 10% off, and you get 10% off one invoice for each referred business that pays.

Your Account

  • Your account settings

Change your name, email, phone number, password and clock-in PIN, get your calendar feed, and bring back the in-app tips.

  • Resetting your password

Forgot your WeRoster password, or never set one? Get a link by email, or ask your manager to send you one.

  • Your Timetable

Your home page in WeRoster: your next shift, your week, the full roster, your leave, and for managers a card for each store with who's on now and what needs doing.

Troubleshooting

  • Troubleshooting

Quick fixes for common problems: staff not getting roster emails, rosters not showing, can't edit a roster, can't log in, subscription notices and more.

  • Asking Ros for help

Ros is WeRoster's help assistant: what it can answer, what it can look up in your account, how to reach a person, and how long chats are kept.
