Frequently asked questions
Quick answers about WeRoster, the staff rostering software for New Zealand businesses.
About WeRoster
What is WeRoster?
WeRoster is online staff rostering software for New Zealand businesses. You build the weekly roster on a 15-minute grid, publish it, and your staff see their shifts on their phone. Availability, leave requests, public holidays, wage costs and clock-in are all in the same place. See all features.
Who is WeRoster for?
Cafes, restaurants, bars, retail stores and other shift-based teams in New Zealand, from a single shop with a handful of staff up to multi-store owners with around 65 staff. If you are rostering in a spreadsheet today, WeRoster is built for you.
Who makes WeRoster?
WeRoster is built and run by JCK XYZ LTD. It has been rostering New Zealand teams for around ten years. Read more about us.
Pricing and free trial
How much does WeRoster cost?
There are four plans based on the total number of staff across your stores: Mini ($15 a month, up to 10 staff), Basic ($25 a month, 11 to 25 staff), Standard ($39 a month, 26 to 50 staff) and Pro ($65 a month, 51 to 65 staff). Pay annually and get one month free. Have more than 65 staff? Contact us. Full details are on the pricing page.
Is there a free trial?
Yes. Every new account gets a 14-day free trial with every feature and no credit card needed. If you do not subscribe, you are never charged. See signing up and your free trial.
Do some features or stores cost extra?
No. Every plan includes every feature and as many stores as you need. Your plan is set only by how many staff you have, and it moves up or down automatically as your team changes.
How are staff counted?
Everyone who is an employee or manager at any of your active stores counts once, including you, even if they work at several stores. Staff you have removed and archived stores do not count. See plans and pricing.
Do my staff have to pay?
No. The store owner pays one subscription that covers every store they own. Managers and employees use WeRoster for free.
Can I cancel at any time?
Yes. Cancel from the Subscription page whenever you like and you keep access until the end of the period you have paid for. There are no contracts or cancellation fees. See cancelling or resuming your subscription.
Rostering
Does WeRoster handle New Zealand public holidays?
Yes. National public holidays, including Matariki and Mondayised days, are added automatically and shown on the right day of the roster, so you never get caught out. Regional anniversary days are not added, so keep an eye on yours. Read our guide to rostering on NZ public holidays.
How long does it take to build a roster?
Most weeks take minutes. Copy last week's roster to the new week, adjust the shifts that changed, then publish and notify your team in one click. See copying a roster and building and publishing your first roster.
Can I build the roster on my phone?
Yes. On a phone or tablet the roster editor uses tap-to-roster: tap where the shift starts, tap where it ends, and WeRoster fills in everything between. See rostering on your phone.
Can staff see their roster on their phone?
Yes. WeRoster works in any phone browser, with nothing to install. Staff see their shifts on their Dashboard, get an email with their shifts when you publish, and can add their shifts to Apple Calendar, Google Calendar or Outlook with a calendar feed.
Can staff tell me when they are available?
Yes. Staff set the days and times they can and can't work, and their availability shows on the roster while you build it, so you are not guessing. See staff availability.
How do leave requests work?
Staff request leave from their phone, you approve or deny it with an optional comment, and approved leave shows on the roster so nobody gets rostered by mistake. See leave requests and managing leave requests.
Can I see what the roster will cost in wages?
Yes. Add each person's hourly wage and WeRoster shows the wage cost of each day and week as you build, and your wage cost as a percentage of estimated sales. Owners choose whether managers can see wages. See wage costs and estimated sales.
Can I run more than one store?
Yes. One login can run as many stores as you need, each with its own roster, staff and settings. Staff who work at several stores keep one login, and each person counts once on your plan. Owners, managers and employees each see only what their role allows. See running multiple stores.
Clock-in, exports and payroll
Can staff clock in and out?
Yes. Turn on shift tracking and staff clock in and out, and start and end breaks, from their own phone or from a PIN-protected terminal on a shared tablet in store. Managers then approve or correct each shift. See shift tracking.
Can I print or download the roster?
Yes. Download any week as a full PDF, a compact PDF or an Excel spreadsheet to print or pin up in the staffroom. See downloading and printing rosters.
Does WeRoster connect to my payroll?
WeRoster does not run payroll or connect directly to a payroll system. You can download worked shifts from the Shifts page as a spreadsheet file and use it for your pay run in the payroll software you already use.
Your account and data
Who can see my business's information?
Only the people you add to your stores, and only what their role allows. Employees see rosters, their own shifts and their own leave. Managers run rosters for the stores they manage. Wages are visible to the owner, and to managers only if you allow it. See owners, managers and employees and our privacy policy.
What happens to my data if I cancel?
Your stores, staff, rosters and history are kept, so you can pick up where you left off if you subscribe again. If you would like your account and data deleted completely, email [email protected].
How do I get help?
Search the support centre for step by step guides, or email [email protected] and a real person from the WeRoster team will reply. You can also use our contact form.
