Notify Only Rostered Staff
Managers can email only the staff who are rostered that week, or only the people whose shifts changed, instead of the whole team.
Not everyone on your team works every week. Casuals, students over exams, someone on a month of annual leave. Sending all of them a roster email they don't need trains people to ignore the emails, and then they miss the one that matters.
So since 2018, managers have been able to notify only the staff who are actually rostered.
How do I notify only rostered staff?
Open the week in the roster editor and use the notify menu next to the Publish button. Under Notify Staff you'll see:
- Notify all, which emails everyone at the store (it says "Notify all again" if you've already sent one).
- Notify only rostered, which emails only people who have at least one shift that week.
- Notify only changed, which appears when you've changed shifts since publishing, and emails only the people affected.
Before anything is sent, WeRoster shows you the first names of everyone who'll get the email, so you can check it's the right people.
When should I use each option?
Use Publish & Notify for a normal week. It publishes the roster and emails the team in one go.
Use Notify only rostered when you have a big team with lots of casuals, or when a few people are away. Use Notify only changed when you've adjusted a published roster midweek. Those staff get a "Roster Changed" email with their updated shifts, and everyone else is left alone.
What do staff see in the email?
Their own shifts for every day of that week, any manager notes on those days, and a link to their timetable. We wrote more about that in improved roster published notifications.

Frequently asked questions
Can I publish a roster without emailing anyone?
Yes. Choose Publish roster from the notify menu instead of Publish & Notify. You can send notifications later.
Who counts as rostered?
Anyone with at least one shift on any day of that week's roster.
Can I re-send the roster to everyone?
Yes. Notify all again sends the roster email to every staff member at the store.
