Shifts and Clock-in

Turning on shift tracking

Let staff clock in and out and take breaks, from their own phone or a shared device in store, so you can see the hours they actually worked.

3 min read

Shift tracking records when staff actually start and finish, including breaks, alongside the roster. Turn it on in the store's Settings tab under Shift tracking, then choose how staff clock in: Clock in on their own phone, Clock in on a shared device in store, or both. Every worked shift then shows on the store's Shifts tab for you to approve.

Shift tracking is marked Beta in the app.

Turning it on

  1. Open the store and click the Settings tab.
  2. In the Shift tracking section, switch on the toggle next to the heading.
  3. Choose how staff clock in (switch on one or both):
    • Clock in on their own phone: staff clock in and out from their WeRoster account, wherever they are.
    • Clock in on a shared device in store: a tablet or computer in store becomes a terminal, unlocked with a terminal PIN, where staff use their own clock-in PIN. The Terminal link and Terminal PIN appear underneath. See Setting up the clock-in terminal.
  4. Optionally fill in Shift jobs, one per line (for example Opening, Delivery, Stocktake). If you add jobs, staff pick one when they clock in. Jobs save when you click away from the box.

The switches save as soon as you change them.

If shift tracking is off, or it's on but neither way of clocking in is switched on, the store's Shifts tab says so and has a Set up clocking in button that takes you to these settings.

Clocking in from your own account

With Clock in on their own phone switched on, staff get a Clock in and out card on their Timetable, listing their recent worked shifts. The button at the top of the card shows where they're up to: Start shift, On shift with the time so far, or On break with the break time so far.

  1. Tap Start shift to open the shift panel.
  2. If your store uses shift jobs, choose one from Select job....
  3. Tap Start Shift.
  4. For a break, tap Start Break, then End Break when you're back. The button turns orange while you're on a break.
  5. To finish, tap End Shift..., add an optional Comment, and tap End Shift.

You can't end a shift while you're on a break: end the break first. Tap Close to close the panel at any time; your shift keeps running.

What happens next

Every finished shift lands on the store's Shifts tab as To approve for a manager to approve, deny or correct. See Reviewing and editing shifts.

Who can do this

Owners and managers turn shift tracking on and choose how staff clock in. Staff at the store can then clock in from their own account (if that's switched on), and everyone on the store's employee list appears on the terminal (if that's switched on).
