Requesting leave

How to ask for time off from your Timetable, follow your request, and see your manager's reply.

3 min read

Ask for time off from your Timetable instead of a text or a note in the back office. Click Request leave, choose the type of leave and your days, and click Send request. Your store's managers decide on it, and you get an email as soon as they approve or deny it.

Sending a request

  1. Open your Timetable (the first page after you log in, or Timetable in the top bar or bottom tab bar).
  2. Click Request leave. It's at the top of the page, and again on the Leave card further down. If you can't make your next shift, you can also click Can't make it? on the Your next shift card, which starts the request on that day.
  3. Choose the Type of leave: Annual leave, Sick leave, Alternative day, Bereavement leave, Leave without pay, Parental leave, or Other.
  4. Choose your dates:
    • Whole days off is on to start with. Pick the First day and Last day (the same day for a single day off).
    • For part of a day, switch Whole days off off and set Starts and Ends with a date and time. Times are rounded to the nearest 15 minutes.
  5. Check the summary under the dates, for example 1 day: Sat 24 Oct, all day. If something's wrong it turns red and tells you what to fix.
  6. Add a Reason if there's anything your manager should know (optional).
  7. Click Send request.

The request goes to the store shown under the Timetable heading. If you work at more than one store, click the store name there and pick another store under Switch store first.

Following your request

The Leave card on your Timetable lists your requests at that store, with the coming ones first. Each shows the dates, the type, your reason and a status:

  • Waiting for a reply: your manager hasn't decided yet.
  • Approved
  • Denied

If your manager added a comment, it shows underneath as Manager: "...". Older requests are tucked under Past requests at the bottom of the card; click it to open the list, and Show older requests to see more.

When your manager decides, you get an email titled Leave Request Approved or Leave Request Denied, with their comment and a View Leave Requests button that opens your Timetable.

Changing or cancelling a request

You can't change or cancel a request from the website once it's sent. Ask your manager instead: they can edit the dates and type, or deny the request if you no longer need it.

What approval does

Approved leave is marked Unavailable on your availability, so it shows up while your manager builds the roster. It doesn't remove shifts you're already rostered for, so check your Timetable and talk to your manager if a shift still shows on a day you're on leave.

Who can do this

Anyone on a store's staff can request leave for themselves at that store, including managers. Managers and owners can also add leave for someone else. See Managing leave requests.
