Availability and Leave

Setting your availability

Tell your managers when you can and can't work, four weeks at a time. Your availability shows on the roster while they build it.

4 min read

Your availability tells your managers when you can and can't work. Open Availability (in the top bar on a computer, or the bottom tab bar on a phone) and mark each day as Available or Unavailable. Changes save as you make them, and your managers see your availability shaded behind your row on the roster (green for available, red for unavailable) while they build the week.

What the page shows

The page shows four weeks at a time, starting with This week. Each week is a card with a row for every day from Monday to Sunday.

  • Use the arrows at the top to move four weeks earlier or later. This week takes you back to the current week.
  • Days you haven't set show Not set. Managers see nothing for those days.
  • Days that have already passed are faded.

After each change you'll see a message such as Availability saved for Sat 24 Oct.

On a computer: drag across the day

  1. Click Availability in the top bar.
  2. In the bar at the top of the page, choose what to mark: Available, Unavailable or Clear.
  3. Drag across a day's strip. Each day runs from 12am to midnight in 15-minute slots, with the hours labelled above the first day.
  4. Switch to the other option and drag again to mark the rest of the day.

Each day also has a ⋯ (more) menu with shortcuts: Available all day, Unavailable all day, Clear day, Set exact hours, Copy to the day before and Copy to the day after.

To type exact times instead of dragging, click the date at the start of the row, or choose Set exact hours. See Setting exact hours below.

On a phone: tap a day

  1. Tap Availability in the bottom tab bar.
  2. Tap a day. Each day shows a summary such as Available 9am to 5pm above a small coloured bar.
  3. In the sheet that opens, either:
    • tap Available all day, Unavailable all day or Clear day, or
    • under Or set some hours, choose Available or Unavailable, pick From and To, and tap the button underneath (for example Set available 9am to 5pm).
  4. Tap Done.

Setting exact hours

The day sheet works the same on a phone and a computer. It shows the whole day as a bar with a summary underneath. Under Or set some hours, pick Available or Unavailable, choose From and To (in 15-minute steps), and tap the Set available... or Set unavailable... button. Repeat to build up a day, for example available 9am to 3pm, then unavailable from 3pm to midnight. The finish time has to be after the start time.

Copying availability

If your weeks don't change much, set one up and copy it:

  • A whole week: click Copy week on that week, then Copy to the next week or Copy to the week before. This works even when the other week isn't on screen.
  • A single day: in the day's ⋯ menu (computer) or the day sheet (phone), choose Copy to the day before or Copy to the day after. Days copy within the same Monday to Sunday week, so Monday has no "day before" option and Sunday has no "day after".

Copying replaces whatever was already set on the days you copy to.

How managers use it

When a manager opens a roster week, your availability for each day shows behind your row on the roster grid, so they can see at a glance when you're free. It's a guide only: it doesn't stop them rostering you, so talk to your manager about anything important.

For time off, send a leave request instead. When a manager approves your leave, that time is marked Unavailable on your availability automatically. See Requesting leave.

Who can do this

Everyone sets their own availability: employees, managers and owners. You can only change your own. If you work at more than one store, the same availability shows at all of them.
