Building and publishing your first roster

Open a week, add shifts on the 15-minute grid, check the totals, then publish and notify your team.

3 min read

To build a roster, open your store and click Next week's roster (or any week in the Weeks list), then drag along each person's row to add their shifts. Everything saves as you go. When the week looks right, click Publish & notify: your staff can then see the roster and get an email with their own shifts.

1. Open the week

  1. Click Stores in the top bar (on a phone, tap Stores in the bottom tab bar), then your store. You land on its Rosters tab.
  2. Click Next week's roster at the top, or This week. For any other week, click it in the Weeks list. Use Earlier and Later to see more weeks.

Each roster runs Monday to Sunday. A new week starts as a Draft, which only owners and managers can see.

If you haven't added anyone yet, the Rosters tab shows Add your team to start rostering with an Add staff button. See Adding your staff.

2. Add shifts

Each day is a card with a row per staff member and a column for every hour, split into four 15-minute slots.

  • On a computer: click where the shift starts and drag along the row to where it ends. Drag over an existing shift to remove it.
  • On a phone or tablet: tap where the shift starts, then tap where it ends. Start on a filled slot to remove that stretch instead. See Rostering on your phone.

Rostered time shows in blue. If staff have set their availability, their available times are shaded green and unavailable times red, so you can avoid booking someone when they can't work.

Next to each day's name you'll see Saving… while a change saves, then Saved.

3. Check the totals

  • The Hours column shows each person's hours for the day.
  • Under each day you'll see the day's hours, and the wages if you can see wages.
  • The summary card above the days shows the week's hours, how many people are rostered and, if you can see wages, the week's wages.
  • If anyone is under or over their contracted hours, a warnings button appears at the top (for example 3 warnings). See Contracted hours warnings.

4. Publish and notify

Click Publish & notify at the top of the roster (on a phone the button just says Publish, but it does the same thing). A confirmation tells you the week, how many people are rostered for how many hours, and any contracted hours warnings. Click Publish & notify to confirm. This:

  • makes the roster visible to your staff in WeRoster, and
  • emails each staff member with a verified email address a Roster Published email listing their shifts for each day.

To publish without emailing anyone yet, click the arrow next to the button and choose Publish without notifying. You can tell staff later with Notify staff. See Publishing, notifying and locking rosters.

Save time next week

Once you have a week you like, open the following week, click More and choose Copy last week into this one…. See Copying a roster.

Who can do this

Owners and managers can build and publish rosters. Employees only see a roster once it's published.
